{"id":2229,"date":"2022-12-02T14:20:58","date_gmt":"2022-12-02T19:20:58","guid":{"rendered":"https:\/\/research.ncsu.edu\/era\/?p=2229"},"modified":"2023-02-15T10:39:15","modified_gmt":"2023-02-15T15:39:15","slug":"uat-for-first-sp-modules","status":"publish","type":"post","link":"https:\/\/research.ncsu.edu\/era\/uat-for-first-sp-modules\/","title":{"rendered":"User Acceptance Testing Underway for First Sponsored Programs Modules"},"content":{"rendered":"\n<p>We know it may have been a while since you\u2019ve heard any implementation updates from us here. But for those of you who haven\u2019t been getting updates through other channels, rest assured that work has continued behind the scenes to implement our next Research Enterprise Data (RED) system modules.<\/p>\n\n\n\n<p>Our Proposal Tracking (PT) and Post-Award Management (PAM) modules \u2014 which will work in tandem and replace the functionality of RADAR \u2014 are next to debut.<\/p>\n\n\n\n<p>User acceptance testing (UAT) for PT\/PAM has been underway throughout the fall semester \u2014 and so far, so good.<\/p>\n\n\n\n<p>\u201cUAT has gone quite well,\u201d <a href=\"https:\/\/research.ncsu.edu\/era\/settle-named-project-manager\/\">ERA Project Manager<\/a> Sherrie Settle said. \u201cUser acceptance testing is intended to make sure the system itself is performing reliably \u2014 doing what we expect it to do when different users are trying to accomplish the same task.\u201d<\/p>\n\n\n\n<p>UAT should not be confused with usability testing. Rather, UAT is a chance for us to let real-life end-users ensure the system works the way it\u2019s supposed to; that is, there are no major bugs or other critical issues that need to be addressed before our initial launch.<\/p>\n\n\n\n<p>Several sessions have been held with various user groups \u2014 from the SPARCS Operations and Negotiations teams to representatives of college research offices and centers and institutes \u2014 since August.<\/p>\n\n\n\n<p>Settle said she\u2019s pleased that the system\u2019s performance has been good but at the same time, \u201cnot perfect.\u201d&nbsp;<\/p>\n\n\n\n<p>\u201cThere have been opportunities to identify some things that weren\u2019t working as expected, which is what you want out of UAT,\u201d Settle explained.&nbsp;<\/p>\n\n\n\n<p>UAT is one of the last milestones in implementation prior to go-live. It not only helps us ensure the system itself is ready but that our training and other support are good to go, too.<\/p>\n\n\n\n<p>\u201cWith new sets of eyes on the system, who are in some cases seeing RED for the first time, you get that fresh perspective,\u201d Settle said.&nbsp;<\/p>\n\n\n\n<p>For example, Settle said they\u2019ve had participants suggest subtle wording changes to system language that make more sense or a slightly different sequence of steps in a certain part of a training guide.<\/p>\n\n\n\n<p>In sum, this informs us \u201chow to make our own configuration \u2014 the things we at NC State can control about the system \u2014 better for our users,\u201d Settle said.<\/p>\n\n\n\n<p>So UAT is a big deal. But it\u2019s far from the last time we\u2019ll test the system. Like any new product, the first version won\u2019t be perfect (which is why we\u2019re committed to continuously improving RED throughout its lifetime).<\/p>\n\n\n\n<p>\u201cI have to applaud everyone who\u2019s participated in UAT for bringing a really positive attitude and enthusiasm,\u201d Settle said. \u201cChange is hard. Business analysts Angie Fullington and Lauren Horne and RED Training Manager Kyle Mullaney came up with the idea \u2014 and they landed on the theme of air travel.<\/p>\n\n\n\n<p>Participants were sent a \u201cPassport\u201d invitation, which also included their \u201cBoarding Pass\u201d for entry to UAT. In turn, \u201cwe got the benefit of people working together, helping each other figure things out,\u201d Settle said.<\/p>\n\n\n\n<p>But given today\u2019s hybrid work environment, some participants did have to follow along virtually instead.&nbsp;<\/p>\n\n\n\n<p>\u201cAnd that taught us something, too \u2014 that they could work independently,\u201d Settle said. \u201cSo the feedback from virtual participants was a little different, since their experience was a bit different, but was just as valuable.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What Attendees Thought: Initial Impressions of PT\/PAM<\/strong><\/h2>\n\n\n\n<p>We spoke with a few attendees to see what they thought of the sessions \u2014 and gauge their initial impressions of the new modules.<\/p>\n\n\n\n<p>Director of Sponsored Programs Marissa Clarkson, who\u2019s attended the majority of UAT sessions held thus far, said she enjoyed the chance to provide feedback on the training guides.<\/p>\n\n\n\n<p>\u201cI really appreciated the time we\u2019ve gotten with Kyle, Lauren and Angie,\u201d Clarkson said. \u201cIt\u2019s been a really collaborative experience.\u201d<\/p>\n\n\n\n<p>Clarkson, who <a href=\"https:\/\/research.ncsu.edu\/administration\/2022\/07\/new-director-of-sponsored-programs-clarkson\">joined NC State in July<\/a>, also said she felt that processes in RED will be more streamlined than in the legacy systems.<\/p>\n\n\n\n<p>\u201cI\u2019ve only recently learned RADAR, but from what I can tell, the way that RED is structured, once all of the modules are rolled out, you won&#8217;t have to click as many times to find what you\u2019re looking for across multiple platforms,\u201d Clarkson said.&nbsp;<\/p>\n\n\n\n<p>\u201cAny way we can make a process less onerous on the community is adding value. So I\u2019m excited for that,\u201d Clarkson added.<\/p>\n\n\n\n<p>Senior University Program Associate Rod Lassiter, who attended all of the UAT sessions that were geared toward the SPARCS Operations team, says he liked the additional functionality PT\/PAM offers in comparison to the legacy system RADAR.<\/p>\n\n\n\n<p>\u201cI like how it\u2019s more detailed than what we\u2019re used to,\u201d said Lassiter, who\u2019s been a user of RADAR for most of its lifetime. \u201cIt\u2019s a little more robust than what we have now.\u201d&nbsp;<\/p>\n\n\n\n<p>Assistant Director for Contract and Subaward Negotiations Wendy Moore, who attended two UAT sessions, says she, too, was impressed with how robust the new modules appeared to be and can already envision the many benefits RED will bring as \u201call of the pieces come together.\u201d<\/p>\n\n\n\n<p>\u201cI think it\u2019s going to be a great asset for the university,\u201d Moore said.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What&#8217;s Next<\/h2>\n\n\n\n<p>Shortly after UAT concludes, final preparations for go-live will begin. We currently plan to launch PT\/PAM in 2023.
