Pre-Hire Eligibility
If an incoming EHRA faculty needs “Investigator” status in order to submit proposals or transfer existing awards to NC State prior to their hire date, they need two things; an NC State Identity, Electronic Research Administration System Access.
NC State Identity
Initiate the HR Job Action Request (JAR) in accordance with Human Resources processes. The HR JAR action can be submitted and approved by the Human Resources Information Management & Analytics (HRIMA) team up to 180 days prior to the system effective date. This allows for the elimination of unnecessary unpaid appointments. If, however, the incoming EHRA Faculty needs “Investigator” status prior to the approval of the HR system action, it may be necessary to submit an unpaid appointment using the “UP11 Unpaid Faculty All Ranks” job code.
Note: Payroll lockout periods may impact the UHR approval timeframe. Please plan accordingly.
System Access
Once the JAR is approved at all levels and a Unity ID has been assigned, The College Research Office should submit a research systems’ access request to SPARCS_IT_Team@ncsu.edu. Attach to the email the individual’s signed appointment letter to confirm Investigator eligibility.
- When the HR action is approved and the individual is assigned a Unity ID, they are automatically added to RED, which will allow them to submit an initial COI disclosure. They will not, however, receive notice to complete their COI disclosure until their official Hire Date. If they are listed as an Investigator on a proposal, please let them know to complete their COI disclosure. Visit the COI Office Site for further information or assistance.
- These individuals do not require Financial System Access during this pre-hire period, therefore no SAR request is needed.

This process is only for new EHRA faculty who, by their appointment, are eligible to serve as an Investigator on research proposals. For all other Investigator eligibility requests, please contact the Director of Sponsored Programs.
